Privacy Policy

Your privacy is important to us. It is My English Habit's policy to respect your privacy and to comply with the laws that apply to any personal information we collect about you, on our website, https://www.myenglishhabit.net, in our Speaking Sessions membership, and in our emails and community.

My English Habit is the trading name of Derek Newton, a self-employed sole trader registered in the United Kingdom. We are the "data controller" for the personal information described in this policy. You can contact us at derek@myenglishhabit.net or at 80A Ruskin Avenue, Welling, London DA16 3QQ, United Kingdom.

Personal information is any information that can be used to identify you. This includes information such as your name and email address, your devices, your payment details and how you use our website and services.

Our website and community link to third-party sites and services, which have their own privacy policies. This policy does not cover your activity after you leave our site.

This policy is effective as of 11/10/26.

Information We Collect

The information we collect is either "voluntarily provided" (information you give us when you use our services) or "automatically collected" (information your devices send when you visit our website).

Log data

When you visit our website, our website host may automatically log standard data from your browser. This may include your device's IP address, your browser type and version, the pages you visit, the time and date of your visit and the time spent on each page. If you meet certain errors on the site, technical details about the error may also be collected.

This information may not identify you by itself, but it may be possible to combine it with other data to identify you.

Information you give us

Depending on how you use our services, we may collect:

  • your name and email address (for example, when you join our email list, sign up for the free week or contact us);

  • your membership and billing details (your plan, payment dates and cancellations; your card details are handled by the payment provider, not by us);

  • the answers you give in forms, such as session check-ins, feedback questions and progress surveys, including how confident you feel speaking English;

  • your attendance at sessions and your speaking progress, which we track to help you improve;

  • messages you send us by email, WhatsApp or in the community;

  • what you say and share in live sessions, where a session uses note-taking (see "Session notes" below).

Session notes

To give members useful notes after a session, some sessions use the note-taking feature of Google Meet (Gemini) and/or Granola. It transcribes the session and writes a summary, which may include your name and what you said. We tell you at the start of a session when note-taking is on. The notes are shared only with members of that session and used to prepare class notes and improve our sessions. If you would rather not be included, tell us and we will leave your contributions out of the shared notes.

We do not make video recordings of sessions to share or publish without first asking the people in them for permission.

Testimonials

If you give us feedback or a testimonial and agree that we can quote you, we may use your words, and your first name or full name as you choose, on our website, in emails and on social media. You can withdraw that permission at any time.

How We Use Your Information

We use personal information to:

  • provide the membership, give you access to sessions and the community, and take payments;

  • send you emails you have asked for, including the free-week emails, session updates and, if you agreed, tips and offers;

  • reply to your questions;

  • track your attendance and speaking progress, and give you feedback;

  • improve our sessions, website and marketing;

  • keep records we are legally required to keep, such as financial records;

  • keep our website and community safe and prevent fraud.

Legal Bases for Processing Your Personal Information

We only use your personal information when the law allows us to. Our legal bases are:

  • Contract: to provide the membership you signed up for, and to take payments.

  • Consent: for marketing emails, and for using your testimonial. You can withdraw your consent at any time. This will not affect anything we did before you withdrew it, and we cannot recall emails already sent.

  • Legitimate interests: to run and improve our services, track progress, understand our audience, keep our services secure and protect our legal rights.

  • Legal obligation: to keep financial records (for example, for 6 years for UK tax purposes) and to respond to lawful requests from authorities.

Who We Share Your Information With

We do not sell your personal information. We share it only with service providers that help us run My English Habit, and only as needed for them to provide their services. The providers we currently use are:

  • Wix: our website, member accounts, membership plans and checkout;

  • the payment provider shown at checkout: to process payments;

  • Skool: our private community, session calendar and session links;

  • Google Workspace: email, Google Meet (live sessions and note-taking), Google Docs (session notes) and Google Forms (check-ins and surveys);

  • Sender: our email newsletters and the free-week emails;

  • WhatsApp: if you choose to message us there;

  • Netlify: hosting for our speaking progress tracker;

  • Google Analytics and Google Tag Manager: to understand how visitors use our website;

We may also share information with professional advisers (such as an accountant), with courts, regulators or law enforcement when the law requires it, or with anyone who takes over our business, who would then have to follow this policy.

International Transfers

We are based in the United Kingdom, and some of our service providers store or process data in other countries, including the European Economic Area and the United States. When your information is transferred outside the UK or the EEA, we rely on adequacy decisions or on safeguards such as standard contractual clauses, as required by the UK GDPR and the EU GDPR.

How Long We Keep Your Information

We keep your personal information only for as long as we need it:

  • membership and account details: while you are a member, and for up to 2 years after you leave, so that we can help if you return;

  • payment and invoicing records: 6 years, for tax purposes;

  • email list details: until you unsubscribe;

  • session notes, check-ins and progress records: while you are a member, and for up to 2 years after you leave.

After that, we delete your information or make it anonymous.

Security of Your Information

We protect your personal information with reasonable measures to prevent loss, theft and unauthorised access, use or disclosure. No method of sending or storing data online is completely secure, so we cannot guarantee absolute security. Please keep your own passwords safe.

Children

Our services are for adults. We do not knowingly collect personal information from anyone under 18.

Your Rights

Under data protection law (the UK GDPR and, if you live in the EU, the EU GDPR), you have the right to:

  • access the personal information we hold about you;

  • correct information that is wrong or incomplete;

  • delete your information, in certain circumstances;

  • restrict how we use your information, in certain circumstances;

  • object to how we use your information when we rely on legitimate interests, and to direct marketing at any time;

  • receive a copy of the information you gave us in a machine-readable format, and ask us to send it to someone else;

  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, email derek@myenglishhabit.net. We will reply within one month. You can unsubscribe from our emails at any time using the link at the bottom of every email.

Complaints: if you are unhappy with how we use your information, please contact us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at www.ico.org.uk or on 0303 123 1113. If you live in the EU, you can also complain to the data protection authority in your country (in Spain, the Agencia Española de Protección de Datos, www.aepd.es).

Data breaches: if a data breach affects your information, we will act as the law requires, including telling you and the ICO where necessary.

Cookies

We use cookies on our website. Please see our Cookie Policy for details.

Changes to This Policy

We may update this policy to reflect changes to our services, the tools we use or the law. We will publish the new version on this page. If the changes are significant, we will tell members and email subscribers by email.
